Position Summary:

  • Generally reports to Department Head or Administrator and assists in all administrative functions and coordinates activities and information of the department
  • In some cases may oversee work of other clerical employees
  • Plan, schedule and organizing daily activities for Department Head and less experienced clerical staff if applicable
  • Screen, evaluate and set priorities for visitors and other contacts and provide appropriate direction
  • Research information, discuss policies with department managers and maintain all departmental manuals including policies, procedures, and job descriptions
  • Prepare department statistics in various areas such as employee and patient incidents and assists in preparing reports
  • Coordinate and schedule all meetings and appointments
  • Prepare and maintain purchase requisitions, personnel action forms, and work orders for office repairs
  • Ensure supplies levels are maintained
  • Function as a liaison between the supervisor and other hospital staff
  • Maintain confidential records for the department and staff
  • Handle correspondence, including typing letters and reports
  • May assist in managing all payroll activities
  • Perform other duties as assigned

Physical Requirements:

  • Position requires prolonged periods of sitting and use of a computer and screen viewing throughout the working day
  • Position will be required to stoop, bend, lift, and carry items weighing up to 25 pounds

Skills:

Required Skills & Experience:

  • Minimum of three (3) years office experience, preferably in medical office or hospital
  • Microsoft Office Suite literacy
  • Good interpersonal skills
  • Able to multi-task and is organized

Preferred Skills & Experience:

-Specific experience in department assigned is preferred.

Required Education:

High School Diploma or equivalent required

Preferred Education:

Associate Degree preferred

Shift Timings: M-F 8:30am-5pm Will need to handle a high call volume and have experience with using a software that is web based
